Privacy Policy
This Privacy Policy describes MapleRent’s actual privacy practices for accounts, Canadian property listings, messages, verification, support, notifications and directly managed advertising.
MapleRent does not sell or rent personal information. Advertisers do not receive access to private messages, support conversations, verification documents, passwords, government identification or private contact details.
Public address notice: A published property listing displays the full street address, property photographs and listing information. Owners should not include unrelated private information in public listing content.
1. Scope and consent
This Privacy Policy explains how MapleRent collects, uses, stores, discloses and protects personal information when you use the MapleRent mobile application, website, account services, property listings, messaging, verification, support, advertising, notifications and related services.
By creating an account, selecting a consent option, submitting information or using MapleRent, you acknowledge the practices described in this Privacy Policy.
MapleRent handles personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act where it applies and applicable provincial privacy legislation.
Some information is required to create or operate an account. If you do not provide required information, MapleRent may be unable to provide the applicable feature.
2. Information MapleRent collects
2.1 Account and profile information
MapleRent may collect the following account and profile information:
- first and last name;
- email address;
- mandatory phone number;
- account type, such as Renter or Owner;
- country, city and postal code entered by the User;
- profile photograph;
- account and verification status;
- communication and notification preferences; and
- a securely hashed password when email-and-password sign-in is used.
A phone number remains private account information unless the User deliberately shares it with another User.
2.2 Google and Apple sign-in
If you use Google Sign-In or Sign in with Apple, MapleRent may receive information authorized by you and provided by that service, such as your name, email address or private relay email, provider-specific account identifier, profile photograph where available, and authentication confirmation.
MapleRent does not receive your Google or Apple password.
2.3 Location information
MapleRent requires Users to enter their country, city and postal code for account and marketplace functionality.
MapleRent does not request or intentionally collect precise GPS location, background location or device-location permission.
Standard hosting and security systems may temporarily process an IP address in server logs as technically necessary to deliver and protect the Service. MapleRent does not use IP addresses to create a precise location profile.
2.4 Property listing information
Owners may submit full street addresses, city, province, postal code, rental details, rent, deposit and utility information, availability, property descriptions, amenities, rules, photographs, attachments, review status and listing history.
Once published, the full street address, photographs and listing details are intended to be visible to Users and may be publicly accessible.
2.5 Owner verification information
MapleRent may request one government-issued photo identification document, such as a driver’s licence, provincial or territorial photo card, or passport.
MapleRent may also request proof of ownership or authority, such as a property-tax bill, assessment notice, land-title or registry extract, deed, transfer document, redacted mortgage statement, property-management agreement, signed owner authorization, or utility bill used only as supporting information.
MapleRent does not request Social Insurance Numbers, health cards, complete banking credentials or unnecessary financial information for Owner verification.
Users may redact document numbers, financial amounts and other information that MapleRent does not need, provided enough information remains to complete the review.
Verification documents are reviewed manually by authorized MapleRent administrators. They are not displayed publicly or shared with other Users.
2.6 Messages, enquiries and uploads
MapleRent collects messages and attachments submitted through property enquiries, User-to-User conversations, support tickets, reports, complaints, verification and troubleshooting.
Users may upload profile photographs, property photographs, Owner verification documents, support attachments and User-to-User message attachments.
Users should remove unnecessary metadata and avoid submitting passwords, complete banking credentials, government-identification numbers or other unnecessary sensitive information.
2.7 Technical and notification information
MapleRent may collect operating-system information, app version, login dates and times, Firebase Cloud Messaging registration tokens, notification preferences and limited server, error and security logs generated as technically necessary to operate and protect the Service.
2.8 Marketplace activity
MapleRent may record property searches, filters, viewed properties, saved properties, saved searches, alert preferences, rental preferences, enquiries, message activity and interactions with directly managed MapleRent advertising.
3. How MapleRent uses information
MapleRent may use personal information to:
- create, authenticate and administer accounts;
- verify email addresses using one-time verification codes;
- provide Google Sign-In and Sign in with Apple;
- publish and manage property listings;
- provide searches, saved properties and alerts;
- enable enquiries, conversations and support;
- review Owner identity and property-authority documents;
- display verification and account-status indicators;
- send account, security, enquiry, support and new-message notifications;
- send optional saved-search, property and promotional communications;
- route push notifications through Firebase Cloud Messaging;
- select limited contextual advertisements;
- prevent fraud, abuse, impersonation and unauthorized access;
- moderate listings, messages, reports and uploads;
- investigate complaints and enforce MapleRent’s Terms;
- troubleshoot errors and improve reliability;
- comply with legal obligations and lawful requests; and
- establish, exercise or defend legal claims.
MapleRent will seek additional consent where required before using personal information for a materially new purpose.
4. Information visible to others
4.1 Owner profile
Other Users may see an Owner’s first name, profile photograph, verification badge and general account status.
MapleRent does not publicly display the Owner’s last name, email address, phone number, verification documents or government-ID details by default.
4.2 Renter information shown to an Owner
When a Renter contacts an Owner, the Owner may see the Renter’s first name, profile photograph, country, city, general account status, message content and attachments.
The Renter’s last name, email address, phone number, postal code, password and sign-in details remain private unless the Renter chooses to share them.
4.3 Public property information
Published listings may display the full street address, photographs, rental information, description, amenities, availability, rules and other listing content submitted by the Owner.
Public information may be copied, saved, indexed or redistributed by persons or services outside MapleRent’s control. Owners should publish only information they are authorized and comfortable making public.
5. Messages and administrative access
MapleRent does not routinely read private User-to-User conversations.
Authorized MapleRent administrators may access messages and attachments only where reasonably necessary:
- after a User reports a conversation or file;
- to investigate suspected fraud, abuse or a security threat;
- to provide requested troubleshooting or support;
- to enforce the Terms of Service;
- to protect a User or another person; or
- to comply with law or a lawful request.
6. Directly managed advertising
MapleRent manages advertising directly and does not currently use an external advertising network such as Google AdMob.
MapleRent may select advertisements using limited contextual information such as country, city, account type, property searches, viewed properties, saved searches, listing categories and rental preferences.
MapleRent does not use private messages, support conversations, verification documents, government-ID information, passwords or complete private contact details for advertising.
MapleRent does not sell or rent personal information to advertisers or other third parties. Advertisers do not receive access to private User information unless a User separately chooses to contact them.
7. Service providers and disclosures
MapleRent may provide limited information to service providers acting on its behalf, including HostGator and related hosting infrastructure, Google Firebase for push notifications, email-delivery providers, Google Sign-In, Sign in with Apple, app-store providers, security providers, technical-support providers and professional advisers.
Service providers may process information only for the services they provide, subject to applicable contractual, legal and security obligations.
MapleRent may also disclose information with a User’s consent, to investigate fraud or threats, to protect Users or MapleRent, to comply with lawful requests, to establish or defend legal claims, or in connection with an incorporation, financing, reorganization, merger, sale or transfer of the Service subject to appropriate safeguards.
8. Storage and processing outside Canada
MapleRent’s current HostGator hosting infrastructure appears to be located in the United States. MapleRent also uses providers, including Google and Apple, that may process information in Canada, the United States or other countries.
Personal information may therefore be stored or processed outside the User’s province or country and may be subject to the laws and lawful-access requirements of the jurisdiction where it is processed.
MapleRent remains responsible for personal information under its control and uses contractual, administrative and technical measures appropriate to the sensitivity of the information and services involved.

9. Emails, push notifications and choices
9.1 Essential communications
MapleRent may send email-verification OTPs from no-reply@maplerent.ca, account and security notices, password and sign-in notifications, enquiry and new-message notifications, support updates, verification and listing-status notices, and important legal or Service notices.
Essential communications cannot always be disabled while the related account or feature remains active.
9.2 Optional communications
Users may manage promotional emails, promotional push notifications, saved-search alerts and new-property alerts. Promotional emails will include an unsubscribe method where required. Push notifications can also be controlled through MapleRent or device settings.
MapleRent does not send SMS messages.
9.3 Firebase Cloud Messaging
MapleRent uses Firebase Cloud Messaging to route push notifications. A Firebase registration token is associated with the app installation so notifications can be delivered to the correct device.
Users may disable push notifications through device settings. MapleRent will avoid placing unnecessary sensitive information in push-notification text.
10. Data retention
MapleRent generally applies the following retention periods:
- Account information: while active and up to 24 months after deletion.
- Support tickets and attachments: up to 3 years after closure.
- Enquiries, conversations and message attachments: up to 3 years after the most recent activity.
- Owner verification documents: deleted within 90 days after the final decision, unless required for an active fraud investigation, dispute, appeal or legal obligation.
- Security, API, login and technical logs: generally up to 12 months.
- Terms and Privacy Policy acceptance records: as long as reasonably necessary to prove acceptance.
- Fraud, abuse and suspended-account records: up to 7 years where reasonably necessary.
Minimal verification records, such as status, document category, reviewer and decision date, may be retained for audit, security and fraud-prevention purposes.
Information may be retained longer or for a shorter period where required or permitted by law, necessary for an active dispute, or no longer reasonably required. Backup copies may remain temporarily until securely overwritten or deleted through normal backup cycles.
11. Account deletion and anonymization
When account deletion is completed, MapleRent will ordinarily:
- remove active property listings;
- remove saved properties and saved searches;
- anonymize or remove the public profile;
- remove active push-notification tokens where practical;
- preserve messages already sent to other Users so conversations remain understandable; and
- retain support, fraud, security, acceptance and legal records only where reasonably necessary.
Preserved conversations may identify the former account as “Deleted User.” MapleRent may delay or limit deletion where retention is required or permitted by law, needed to protect another person, or reasonably necessary for fraud prevention, investigation, dispute resolution or legal claims.
12. Security safeguards
MapleRent uses safeguards appropriate to the sensitivity of the information, which may include HTTPS transmission, hashed passwords, authentication and access controls, restricted administrator access, protected verification uploads, server and application security measures, administrative-action logging, file restrictions, backups, retention controls and investigation of suspected unauthorized access.
No electronic system can be guaranteed completely secure. Users must protect their passwords and devices and should promptly report suspected unauthorized access.
13. Privacy and security incidents
MapleRent will investigate suspected loss, unauthorized access, disclosure or misuse of personal information.
Where required by applicable law, MapleRent will notify affected individuals and the appropriate privacy regulator and will maintain required records of security-safeguard breaches.
14. Access, correction and privacy rights
Subject to applicable law, Users may request access to personal information, information about its use, correction of inaccurate information, deletion of eligible information, withdrawal of consent for optional processing, changes to marketing preferences, or review of a privacy complaint.
MapleRent may need to verify the requester’s identity. A request may be refused or limited where permitted or required by law, including where disclosure would reveal another person’s information, compromise security, interfere with an investigation or disclose legally protected information.
Withdrawing consent may affect MapleRent’s ability to provide a feature and cannot always apply retroactively.

15. Users under 18
MapleRent is intended only for Users who are at least 18 years old. MapleRent does not knowingly permit persons under 18 to create accounts.
If MapleRent learns that an account belongs to a person under 18, it may suspend or delete the account and remove associated information, subject to legal, fraud-prevention and retention requirements.
16. Changes to this Privacy Policy
MapleRent may update this Privacy Policy to reflect changes in the Service, technology, providers, legal requirements or data practices.
Each published version will display a version number and effective date. MapleRent may notify Users of material changes and request renewed acceptance where appropriate or required.
MapleRent may retain records showing the Privacy Policy version accepted, acceptance date, account, app version, platform and related acceptance information.
